I can't do anything about the time, but for the software tool, I've had
good luck with Microsoft's NetMeeting tool.  This allows the "host" of
the meeting to run an application (like CyberBoard) so all participants
can see/use it.  It's a free DL from the Microsoft site or from
http://www.brainiac.com/tft/Nm21.exe
